FAQ
Questions, answered plainly.
Setup, devices, languages, certificates, IT requirements — everything customers ask before and after rollout, in one place.
Getting started
Can I evaluate how.fm before a rollout?
Yes. We start with a product walkthrough and then agree the right evaluation for your operation, such as a focused pilot at 1 or most often 2 sites. The format depends on your goals, systems, and rollout scope.
How long does it take to set up how.fm?
It depends on the number of sites, integrations, devices, languages, and the amount of existing content. A focused use case at one site can go live quickly (within hours or days). Larger rollouts need coordinated access, content, responsibilities, and technical preparation (often also multiple train-the-trainer sessions across regions).
We define the rollout plan and success criteria with you before implementation begins.
Can my team capture its own processes and training content?
Yes. With the appropriate how.fm product and permissions (e.g. the how.fm Recorder and how.fm Editor), your team can capture work on the shop floor and turn it into visual instructions for training or live-support purposes. Review and approval remain with the people responsible for the process.
The capabilities included in your setup depend on your subscription. Contact your administrator or customer support if you are unsure.
I am an existing customer. Where do I get help?
Use customer support for access issues, technical questions, course visibility, certificates, or any other help with your current setup. Make sure to mention your company, site, device type, and a short description of what happened so the team can route the request quickly.
Training & courses
What is a how.fm Course?
A course is a structured learning path grouping relevant how.fm Sequences. Courses can be assigned by role, site, or training need and delivered in the worker’s preferred language.
What is a how.fm Sequence?
A sequence is a short, self-contained unit that explains a task, process, or topic step by step. Customers compare it to a video with individual scenes, Instagram Reels, or similar slideshows. Multiple sequences can be combined into a role- or process-specific course.
What kinds of content can I deliver with how.fm?
Most customers focus on visual work instructions, but any short learning sequences, complete compliance courses, site-specific employee information, plus everything you could communicate in a slideshow or video is possible. Common uses include company-specific onboarding, compliance and health and safety topics, standard work instructions for site-specific processe, quality rules and requirements, and more.
How does how.fm support different languages and literacy levels?
Courses and policies or visual work instructions combine short text, images or video, and voice-over. Workers select their preferred available language, so the same process can be understood without relying on long written instructions or an interpreter. Training can run on shared stations or devices such as tablets without requiring a personal email address.
Your team remains responsible for reviewing the content, terminology, and accessibility of each published course for its workforce.
Who creates the training content?
Your team can create and review content in how.fm and capture real processes directly on the shop floor. On request (priced packages available), how.fm can support a content jumpstart, templates, and the rollout of a consistent creation and approval process.
The people who own the process always retain final approval.
Can I use video in a course?
Yes. Courses and sequences like visual work instructions can include photos or videos alongside captions and voice-over, and more (e.g. quizzes). The available capture and upload options depend on your product configuration and permissions.
How do I create a knowledge-checking quiz?
Create a quiz in your how.fm Space (your content workspace), add the question and answer options (even automatically). Once it is reviewed and published, you can add it to the relevant course.
Make the quiz available in every language used by the course so each worker can complete the same knowledge check in their preferred language.
Can how.fm check whether workers understood the training?
Yes. Add a quiz to a course to check understanding instead of relying only on attendance. Successful completion creates a digital training record and, where configured, a certificate.
Authorized managers can review completions and evidence in the how.fm Skill Matrix (your dashboard for training records and certificates).
How do workers receive proof of training completion?
When a worker completes the required course and knowledge check, how.fm records the completion. Where certificates are enabled, an authorized manager can find and download them from the how.fm Skill Matrix (certificate overview).
Certificates can be shared digitally or exported and printed when a paper copy is required.
Who can access training certificates?
Certificates and completion records are available only to authorized users. Your organization controls who receives administrative access and which sites or teams they can view.
If you need access changed, contact your internal how.fm administrator or customer support.
Where can I see who completed which training?
Authorized users can review course status, completions, certificates, and qualification gaps in the how.fm Skill Matrix, your dashboard for training records and certificates. Records can be searched by the dimensions available in your setup, such as worker, course, role, team, or site.
Why can’t I see a course in the how.fm app?
Check that the course is published, assigned to the correct site or audience, and available in the selected language. Then synchronize or restart the app.
If the course still does not appear, contact your how.fm administrator or customer support with the course name, site, language, and device type.
Where can I find the QR code for a course?
Open the course in how.fm Space, your content workspace, and use its access or sharing options to find the course QR code. If the option is not visible, check that you have the required permissions or ask your how.fm administrator.
Languages & translation
Which languages does how.fm support?
how.fm supports training in 40+ languages. Workers choose their preferred language, and content can include translated text, visual steps, and voice-over.
Company and site glossaries keep specialist terms consistent. Language variants and voice availability depend on your configured content, so check the platform or ask customer support for the current selection.
What does automatic translation mean in how.fm?
how.fm generates connected language versions of your content, including voice-over where configured. Your glossary preserves approved terminology, and authorized reviewers check the result before it is published to workers.
This removes repetitive translation work without removing human ownership of operational and safety content.
Can people review or adjust translations?
Yes. Authorized users can review and adjust content. Content can be created in different languages, and translation is automatic. When needed, targeted translation changes can be made through the glossary.
Devices, IT & security
Which devices and browsers does how.fm support?
The how.fm Trainer runs on modern web browser or natively (and with more advanced features) on iOS and Android devices such as smartphones or (mostly) tablets. The how.fm Editor requires a current, officially supported web browser.
Keep devices, operating systems, browsers, and the how.fm native mobile apps up to date (ideally using automatic updates). For shared hardware, we recommend central management through MDM and protection, mounting, and power appropriate to the work environment.
Supported versions change over time, so we intentionally do not publish a fixed version list here. Contact customer support for the requirements that apply to your rollout.
How many devices does my team need?
That depends on the number of workers, shift pattern, training volume, and whether training happens before or during the job. For onboarding, many sites use 5-50 shared tablets or learning stations. Company-approved personal devices could also be part of the setup.
We plan the best approach together with you during rollout.
Do workers need an email address to use how.fm?
No. Workers do not need a personal email address to start training. Access can be configured for a site and used on learning stations, shared tablets, or approved personal devices.
The exact identification step depends on your setup and may happen when a worker completes training so the record or certificate is assigned correctly.
What IT preparation does how.fm require at a site?
You need a supported browser or device and reliable internet access for sign-in, synchronization, and more. Content including media is cached on-device where possible to reduce ongoing traffic.
App installation and management
The mobile app can be installed manually or deployed and updated through your company's mobile-device-management system.
Firewalls and allowlists
In restricted networks, some how.fm service domains and ports may need approval. Because these requirements can change as the platform evolves, how.fm Customer Success provides the current allowlist for your rollout instead of publishing a static list that can become outdated.
Contact customer support for the current technical requirements.
Can how.fm integrate with HR and other systems?
Yes. how.fm can connect to HR and other systems so identities are synchronized and trigger the right training assignments automatically. Role changes, site changes, and departures can flow through the same connection, keeping the how.fm Skill Matrix current without repetitive manual work.
The exact setup depends on your existing systems and rollout requirements.
How does how.fm protect company and workforce data?
how.fm is ISO 27001 certified and supports GDPR-compliant use. Customers may choose from either EU or US hosting options, while access to administrative functions, sites, training records, and certificates is controlled through their organization’s configured permissions.
Data flows and integration requirements vary by setup. Your how.fm contact can provide the current security documentation, hosting details, and subprocessors for your review.
